🖨️How to Scan

Some Virtual Court Kiosks include a printer with scan and copy capabilities (HP LaserJet Managed MFP E42540) and others just have a scanner (HP ScanJet Pro 2600 f1). This article will outline how to scan forms and documents from each of these models so you can view or share them by email or during a virtual meeting. For troubleshooting an issue with the scanner, please read more here and notify the nearest staff member.

Please make sure you are referencing instructions for the correct printer/scanner model.

Scanning with the HP LaserJet Managed MFP E42540

  1. From the kiosk's desktop, click Scanner. This will prompt the scanner window to appear.

    • You will see the HP Scan popup asking you to select some options

    • You can configure the document and change the resolution and contrast if you want.

    • Do not change the default destination for the scanned file. It will automatically appear in the kiosks's document folder

    • When you're ready, click "Save"

  2. Once complete, your document will be saved in the "Documents" folder on the kiosk desktop. Inside the "Documents" folder, there will be another folder titled with today's date. Your documents will be located there.

When your session is over, all documents will be deleted from the kiosk.

4. Slide the paper guides to fit the width of the document. If there is any gap between the paper guides and the edges of the documents, the scanned image might be skewed.

Make sure not to push the paper guides so too tightly. If it's too tight, they will bend the documents. When loading small documents like checks, place the longest edge parallel to the paper width guides. Load documents in the input tray

Alternative: If you would like to use the scanner glass instead, open scanner lid, load document faced down on glass, and close lid.

6. To scan to computer, from the Home screen on the scanner product control panel, touch To Computer.

7. The scanner displays a list of computers that have the HP software installed and are enabled to receive scans from the scanner. Select a computer to receive the scan.

8. If you want to change scan settings, Touch Sides to switch among default, one-sided, and two-sided settings. (Default: one-sided or two-sided, depending on which one you have set as default for the Scan To Computer shortcut.)

9. Touch Scan. The scan will be sent to the selected computer

Using Your Scanned Document

Once your document is scanned, it will be saved in a folder for you to use. You can attach the document to an email or open it to view or share it during a video meeting.

Attaching Your Document to an Email

It's easy to attach a file to an email. You can email to yourself, your attorney, or anyone who might need the document.

  1. Starting from the kiosk's web browser, open a new tab.

  2. Log in to your email. The most common email provider login portals are listed and linked below. They will open in a new tab so you can log in and still get back to these instructions.

  3. Your file will now be attached to the email and you can send it to yourself for later or to someone else.

Sharing Your Document in a Video Meeting
